Central Reach

Central Reach is the electronic billing and documentation program used by ACT.  At a minimum, all of ACT agencies use Central Reach to store and share AzEIP documents.  Your agency will provide you with the guidance necessary to use other features of Central Reach if required.

PROCEDURE FOR UPLOADING AND SHARING DOCUMENTS IN CENTRAL REACH (P&P dated 7/14/2015)

 

  • List of documents required to be uploaded and who each document should be shared with.

  • Refer to your agency Policies & Procedures regarding who is responsible for uploading EI documents in Central Reach (agency, individual provider, or either). 

  • Please remember that, due to HIPAA, documents are never 'automatically' shared.  You will need to share each document you upload.  EVERY TBEI document should be uploaded and shared in Central Reach with your agency, team members, and/or ACT per your internal agency’s policies and procedures (see attached list of documents required to be uploaded). 

  • All documents should be uploaded and shared within 48 hours. (You are not required to share your ACT Logs with team members but they do need to be uploaded into CR and shared with your agency and ACT.)

 

 

To Upload a File in Central Reach:

 

  • Hover curser over file box icon

  • Click on Upload new file

  • Choose Upload Type To someone else’s account

  • Type in the name of the child and select it from the options

  • Check Lock for editing box (optional)

  • Enter the name the file in the available box using the following format– Last name, First   name, Region, Document Description, Date (i.e. Smith, John R7 Initial IFSP 10.01.2013)

  • Description of File (optional)

  • Click Choose File (choose your file)

  • Click Begin upload

 

 

All documents MUST be shared with:

 

  • All the other team members

  • Every Team member’s agency

  • Arizona Cooperative Therapies

  • Your Agency CR account

 

How to Share Documents with everyone at one time:

  • Hover your cursor over the file box icon

  • Click on all files

  • Use the search box to type in key words in the file name

  • Open the desired file by clicking on the name of the file

  • In the text box under ‘Sharing & permissions’, type the abbreviation of the Region and Team you would like to share the file with (i.e. For Region 7 Team 1 you would use the abbreviation R7T1)

  • Click ‘Share with selected contact’

  • Your file will then be shared with every contact assigned to that label including all your team members, the agencies they work for, your agency, and ACT.

 

How to Share Documents with a specific person:

  • Hover your cursor over the file box icon

  • Click on all files

  • Use the search box to type in key words in the file name

  • Open the desired file by clicking on the name of the file

  • In the text box under ‘Sharing & permissions’, type the agency or provider’s name you would like to share the file with (i.e. Brittany Spears or Arizona Cooperative Therapies)

  • When the provider’s name appears, click on it.

  • Click ‘Share with selected contact’

  • Your file will then be shared that specific provider or agency. 

 ‘Sharing’ in Central Reach with other providers and agencies works ONLY if: 

 

  • The person you are sharing with is a therapist/provider that also works for your agency

  • OR the provider or agency is listed in your 'Provider Network'

  • AND the agency/provider has the correct Region/Team labels

 

  

How To Communicate Adding New Providers or Changes with Provider Region/Team

 

  • If a new provider joins your agency, send the following request to the ACT CR Data Manager:  “Please connect new provider Brittany Spears (CR ID#) with the ACT account.  She is in R7T1 (insert correct Region/Team label here).”

  • If a provider changes regions/teams, send an email to the ACT CR Data Manager with the new information.  She will ensure label changes are made in the ACT account.  Once the Data Manager makes the changes, you should be able to see the new labels in your account the next day.
